Case study · Website care · 26 October 2026

A Perth kids' football clinic: 60 changes, every number right first time.

The clinic's weekly email changed session counts and prices for 8 clinics. Mike passed the job on by voice and email, Crassus did the work, a second AI checked it, and Mike approved the plan and tested the result. No payments were disrupted.

Checked! every number

The problem

Prices and sessions that change every week.

The clinic runs term programs for kids across Perth. Session counts and prices change often, and each change has to land in several places at once: the clinic pages, the homepage, and the payment forms parents use to pay. By hand, that was error-prone and took an hour each time.

What we did

Planned, approved, then checked twice.

  • Every page element and payment form was saved before anything was touched.
  • Crassus wrote a change plan: 60 edits across 6 payment forms, 3 clinic pages and the homepage. Mike approved it before anything changed.
  • The site went into maintenance mode, and payment notifications were confirmed working throughout.
  • Each payment form was updated before its page, so no parent could be overcharged mid-change.
  • Every price the payment system would charge was checked in a form preview.
  • Before-and-after comparisons proved that only the planned text changed.
  • A second AI checked the work independently against the before-and-after copies.
  • Mike tested everything before the site reopened.

The result

Every number right first time.

60

edits made

Across 6 payment forms, 3 clinic pages and the homepage.

8

clinics updated

From one weekly email.

0

payments disrupted

Payment notifications kept working the whole time.

Along the way, Crassus also found and fixed stale information that manual updates had missed for weeks: a wrong venue, a missing age group and out-of-date headers.

What's next

The first job is the slow one.

The first run took about 3.5 hours of agent time, because Crassus was mapping the site from scratch. That map is now saved as a playbook for this site, so repeat jobs are meant to take minutes of Mike's review. Next on the list: sessions and prices that update themselves.
